PROCUREMENT AND SAMPLING CO-ORDINATORPart time. 25 hours per week. 9.30am - 2.30pm

Leeds City Centre

Role Overview:

We are looking for a detail-oriented and proactive Procurement & Sampling Co-ordinator to join our team. You will play a key role in managing the end-to-end procurement process alongside co-ordinating the sampling lifecycle — from initial request through to approval and handoff. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys working across multiple teams.

Key Responsibilities:

  • Raise and manage purchase orders, ensuring accuracy and timely processing across all categories.
  • Co-ordinate the end-to-end sampling process — tracking requests, liaising with suppliers, and maintaining sample logs.
  • Build and maintain strong supplier relationships, acting as a day-to-day point of contact.
  • Monitor lead times, delivery schedules and sampling timelines, flagging any risks early.
  • Support sourcing activity including obtaining quotes, preparing comparisons, and evaluating supplier proposals.
  • Maintain accurate procurement and sampling records using internal systems and trackers.
  • Work closely with product, design, and commercial teams to ensure samples meet specification requirements.
  • Support the procurement team with supplier onboarding, compliance checks, and general administration.

What we are looking for:

Essential

  • Previous experience in a procurement, buying, or sampling co-ordination role — ideally within retail or a product-led business.
  • Strong organisational skills with the ability to manage multiple workstreams simultaneously.
  • Excellent attention to detail and a methodical approach to administration.
  • Confident communicator — both written and verbal — with experience managing external supplier relationships.
  • Comfortable working with data and spreadsheets; experience with procurement or ERP systems is a plus.
  • A collaborative team player who can also work independently and take ownership of tasks.

Benefits

  • Holiday allowance of 33 days, including bank holidays (increases in line with service), Pro Rata.
  • Summer hours offered between 1st June and 31st August.
  • City centre location within walking distance from shops, cinemas, and restaurants.
  • Railway station within 5 minutes walking distance.
  • Complimentary gym passes.
  • Discount at local coffee shop.
  • Staff product discount.

Schedule:

  • Monday to Friday
  • Work Location: In person

How to apply:

  • Please submit your CV and a brief cover letter outlining your relevant experience to careers@james-hare.com
